How to clean up your Heap account in 15 minutes or less!

Heap is a powerful tool for tracking user interactions and collecting valuable data for your business. Over time, any data tool can accumulate a lot of clutter, making it harder to find the insights you need. In this quick and easy guide, I’ll show you how you can clean up your Heap account in just 15 minutes or less. The best part? You can do it without the fear of breaking anything or losing precious data.

In this post, we’ll cover some quick and easy ways to clean up your events, properties, and charts.


Let’s start with events. 

 

Step 1: Cleaning Up Events

  1. Navigate to Data → Labeled Events

  2. Apply filters to make swift decisions about what can be archived:

    • In the "Source" dropdown, select your autocaptured web and mobile events (Android, iOS, and/or Web events).
    • In the "Activity Status" dropdown, choose "Unused" (events not used in any charts or dashboards).
    • In the "Sync" dropdown, opt for "Unsynced."
    • Finally, in the "Snapshots" dropdown, pick "No snapshots."
  3. After applying these filters, you can bulk select all the remaining matching events and click "Archive." This process can significantly declutter your account.

Next, let's move on to cleaning up properties.

 

Step 2: Cleaning Up Properties

  1. Navigate to Data → Properties (event and user).

  2. Use filters again to narrow down properties for archiving:

    • In the "Activity Status" dropdown, select "Unused" (properties not used in any charts or dashboards).
    • In the "Sync" dropdown, choose "Unsynced."
  3. After applying these filters, you can once more bulk select the remaining matching properties and click "Archive."

Finally, let's swiftly clean up our charts.


 

Step 3: Cleaning Up Charts

  1. Navigate to Charts → Unused. Archived charts are not used in any dashboards, have not been viewed in the last 90 days, have no scheduled email charts set, and have no threshold alerts set.

  2. Unlike the previous steps, you won't need filters here. Because of the criteria above, I typically select all charts in this section and click "Archive" for the final time.

 

That's it! While there may still be some more cleanup to do, following these steps will often clean up a significant portion of content and provide you with an excellent starting point for a more thorough cleanup in the future.


Cleaning up your Heap account doesn't have to be a time-consuming task. By following the simple steps outlined above, you can quickly tidy up your account and make it more efficient. And the best part is, you won't break anything or lose any data in the process. Heap keeps your archived events, properties and charts accessible, allowing you to restore or recreate them whenever you need.
